Why timing changes the cost of a switch

Two payroll switches with identical providers can cost very different amounts of money and admin, purely because of the date they land on.

Quarter ends are the clean break

Payroll tax returns are filed by quarter. If you move on the first day of a quarter, your old provider closes out the last one and your new provider starts from zero. Move mid-quarter and two providers touch the same return, which is where duplicate filings and mismatched deposits come from.

January 1 is the cleanest of all

A move at the start of the year means one provider handles the whole year and each employee gets a single W-2. Any other date means your new provider has to load year-to-date wages and taxes accurately, or your people get two forms and more questions than you want to answer.

Your contract sets the floor

Most agreements have a notice window, often 30 to 90 days, and many renew automatically if you miss it. The quiz treats your contract as the earliest realistic exit, then adds the lead time a provider needs to load, validate, and parallel-run your data before the first live payroll.
